Terms & Conditions

Welcome to RugbyKids. By booking a place for your child in one of our school clubs or holiday camps, you agree to the following terms and conditions. Please ensure you read them carefully before completing your booking.

1. General Information

  1. These terms and conditions apply to all participants enrolled in any Rugby Kids after-school club and holiday camps.
  2. By enrolling your child in our after-school club or holiday camp, you agree to the following terms and conditions.
  3. RugbyKids reserves the right to update or amend these terms and conditions at any time. The latest version will always be available on our website.
  4. RugbyKids after-school clubs and holiday camps are organized and run by your local RugbyKids franchise operator, whose details will be on your booking confirmation.
  5. Our after-school rugby clubs and holiday camps are open to children aged 7-11 years.

2. Club/Camp Enrolment

  1. Enrolment is subject to availability and will be confirmed upon receipt of a completed registration form and payment via our website or directly with your school.
  2. Each child must be registered individually, and spaces will be allocated on a first-come, first-served basis.
  3. Parents/Guardians must ensure that all provided information is accurate and up-to-date, including emergency contact details and any relevant medical information.

3. Fees and Payment

  1. All fees must be paid in advance prior to the start of the term.
  2. Fees are non-refundable, except in cases of serious illness or injury or cancellation of the club by RugbyKids.
  3. Late payment may result in your child losing their place at the rugby club.
  4. We accept payments via our website www.rugbykids.co.uk or directly from your school. If you pay RugbyKids directly confirmation of your booking will be automatically sent via email upon receipt of payment. If you have paid your school directly, we will not issue receipts.

4. Cancellations and Refunds

  1. If you wish to cancel your child’s place in the club or camp, you must inform us in writing at least 14 days before the start of the term. Refunds will be issued at Rugby Kids' discretion.
  2. No refunds will be issued for missed sessions due to holidays, illness, or other personal reasons.
  3. Rugby Kids reserves the right to cancel sessions due to unforeseen circumstances, including but not limited to bad weather, venue closure, or staff unavailability. Where possible, these sessions will be rescheduled.

5. Health and Safety

  1. Rugby Kids is committed to ensuring the safety and well-being of all participants. All activities will be conducted under the supervision of fully trained and qualified coaches. Rugbykids is a non-contact rugby programme. This means we will not be coaching any contact skills such as tackling, but it does not mean we can guarantee there will not be accidents. We play tag rugby, which involves children running around and carries the same risks as other sports such as netball or football.
  2. Parents/Guardians are responsible for informing RugbyKids of any medical conditions, allergies, or additional needs that may affect their child’s participation in the club. All children attending RugbyKids Holiday Clubs must be in good health. Any medical conditions, allergies, or special requirements must be disclosed when booking. In the event of illness or injury during the school club, we will contact the parent/guardian as soon as possible, either through your school or directly (if we have the correct information to hand). In case of illness or injury during a holiday camp, we will contact parents/guardians as soon as possible with the registered contact details.
  3. In an emergency, RugbyKids will take appropriate action, which may include seeking medical attention for your child.
  4. For RugbyKids camps children must be dropped off and picked up by a parent/guardian or an authorised person. Any changes to this must be communicated in advance in writing.
  5. We adhere to all safeguarding, health, and safety regulations. All staff are DBS checked and trained and have completed RugbyKids child welfare course.
  6. Where classes are run in a public space such as a park, recreation ground or sports club operated on council grounds, our coaches will always conduct a dynamic risk assessment, including inspecting the “pitch” / general area used for RugbyKids purposes. If, for any reason, the area is not deemed safe or appropriate, the class will be moved. This inspection will not include the broader remit of the area and RugbyKids only assumes responsibility for the area marked out as the “Pitch”. RugbyKids will not be held responsible for any incidents that are out of our control, and parents/carers must assume the same responsibility they would during any visit to a public area and, as a result, always take full responsibility for themselves and their dependents. To avoid doubt, the behaviour of members of the public, pets and any wildlife are all deemed to be out of RugbyKids control.

6. Code of Conduct

  1. Participants are expected to behave in a respectful and positive manner during all activities.
  2. Any behaviour deemed inappropriate or disruptive by the coach may result in the child being temporarily or permanently excluded from the club. No refunds will be provided in such cases.
  3. Parents/Guardians are responsible for ensuring that their child is collected promptly at the end of each session. If RugbyKids is handling collection, this must be pre-agreed in writing with the school and must be accompanied by appropriate planning.

7. Liability

  1. RugbyKids does not accept responsibility for any injury or loss suffered by any participant unless such injury or loss is caused by negligence on the part of Rugby Kids or its staff.
  2. RugbyKids is not responsible for the loss or damage of personal belongings brought to the club.
  3. The Parent shall indemnify and keep indemnified RugbyKids against all loss (including loss of profit), liability, cost and expenses which RugbyKids may incur directly or indirectly as a consequence of any action or inaction of the Parent, Carer and/or Participant.

8. Photography and Media

  1. Rugby Kids may take photographs or videos during sessions for promotional purposes. By enrolling your child, you consent to the use of such images unless you inform us otherwise in writing.
  2. No personal details will be disclosed alongside any images.

9. Privacy and Data Protection

  1. RugbyKids complies with the General Data Protection Regulation (GDPR). Personal information provided during the registration process will only be used for the purposes of running the after-school club and holiday camps and will not be shared with third parties without your consent.
  2. You have the right to request access to or deletion of your data at any time.
  3. By agreeing to these terms and conditions the Parent consents that the data provided (non-financial) can be shared within the RugbyKids group.

10. Limitation of liability

  1. The Parent and/or Carer agrees that any claim made against RugbyKids will be made in writing within 30 days of the incident taking place and failure to report in writing within this time will negate any such claim.
  2. The maximum aggregate liability for RugbyKids to the Participant, Parent and/or Carer will not exceed the Fees.
  3. Neither RugbyKids nor any Coach, coaches assistant nor any employee, agent or other representative accepts responsibility in respect of loss, damage or expense incurred by a Participant, Parent and/or Carer arising directly or indirectly or in any way connected with the attendance of the Participant, Parent and/or Carer at Classes (or any Class) or any other act or omission on the part of RugbyKids, its Coaches, coaches assistants, employees, agents and/or representatives.
  4. All warranties and conditions whether implied by statute or otherwise are excluded from this contract provided that nothing in this contract shall restrict or excluded liability for death or personal injury caused by the negligence of RugbyKids, it Coaches, coaches assistants, employees, agents and/or representatives or affects the statutory rights of the parent or Participant.
  5. The Parent and/or Carer agrees that any product purchased from the RugbyKids merchandise store is to be used at their own risk. RugbyKids will not accept responsibility for any personal injury which may occur due to improper use. As a consequence, RugbyKids recommends that all equipment is used under the supervision of a Parent/Carer.

11. Changes to Schedule

  1. Rugby Kids reserves the right to make changes to the schedule, including the time, venue, or coaches. Any changes will be communicated to parents/guardians as soon as possible.
